Drop address
Forward fund reports and capital calls to your team by email.
The drop address gives your team its own email address. Zahlenwerk processes PDFs that arrive there like an upload. Forward reports by hand, or set up a forwarding rule in your mail system.
Owners and Team Admins can set it up, under SettingsIntegrationsDrop address. The drop address is off by default.
Set up
Switch it on
Switch on the drop address. Under Your address, your team's address appears, e.g. my-team@inbox.zahlenwerk.studio, with a button to copy it. The part before the @ is your team's short name from the team URL. Each team has one address.
Accept senders
Under Accepted senders, add the addresses whose mail is accepted:
- Your own address if you forward by hand. A forwarded message comes from you.
- The addresses your funds or administrators send from, if you forward automatically or have reports sent straight to the drop address.
While the list is empty, nothing is accepted. Remove takes a sender off the list.
Forward
Forward reports to the address, or set up a forwarding rule, for example in Outlook or Microsoft 365.
Gmail
When you set up automatic forwarding to the drop address in Gmail, Google first sends a confirmation code to that address. Zahlenwerk passes that message on to the team's owners and admins; confirm the forwarding in Gmail with the code or the link in it. Gmail keeps the original sender when it forwards automatically, so add your funds' addresses under Accepted senders, not your Gmail address.
What happens to the mail
- Only PDF attachments are read, not the message text.
- Every PDF is recognized and sorted: fund reports go through extraction like an upload, capital call notices into Capital calls. You see status and results just as with uploading.
- Recognizing is free; extraction uses credits like an upload. → Packages & usage
- A PDF already in the team isn't processed again.
Manage
Recent activity lists the latest messages as imported, rejected or failed, with the reason. When a message from an unknown sender is rejected, you also get the notification "An email to the team inbox was rejected". → Notifications
Switch off refuses mail to the address. Accepted senders are kept; when you switch it on again, the same address applies as before.
Incoming mail is received by the provider Postmark (USA). → Architecture
